What Approvals, Documents & Audit does
StoreCashier Pro includes three workflow modules. Approvals holds stock adjustments, inter-branch stock requests, production completion, leave requests and custom requests until they are approved, using sequential or parallel steps, conditions, delegation and escalation.
The Documents module is a library for contracts, SOPs, employee files and record attachments with folders, versions, expiry reminders and secure share links. The Audit Trail records every create, update and delete with field-level before / after values, plus logins and settings changes.
Availability: This module is part of StoreCashier Pro. In the free plugin it is visible as a read-only preview marked PRO.
Approvals, Documents & Audit features
Approvals
- Approval gates ProLeave requests, manufacturing finalise, stock adjustments, inter-branch stock requests and custom requests (for example purchase requests or budget approvals).
- Workflow modes ProSequential, parallel (any one step) or parallel (every step).
- Conditions ProMinimum / maximum amount, location, category, requester roles or users; the highest-priority matching workflow wins.
- Steps and escalation ProApprovers by user, role, the requester's manager or any manager; due hours and overdue actions (escalate, auto-approve or auto-reject).
- Inbox and requests ProApprove or reject inline or in bulk, request more information, comment, withdraw, remind and reassign, with the full approval chain.
- Out-of-office delegation ProDelegate approvals for a date range.
Document library
- Folders and filters ProFolder tree plus filters for category, type, tag, linked record, owner, visibility, status and expiry.
- Uploads with metadata ProDrag and drop files with type, category, tags, reference number, issue and expiry dates, reminders, owner and visibility.
- Record links ProLink documents to contacts, leads, deals, projects, employees, assets, repair jobs, tickets, bookings, purchases, sales and more.
- Versions ProUpload a new version with a change note and restore any older version.
- Secure share links ProPublic links that can expire, limit downloads and require a password.
- Expiry reminders and ZIP download ProA daily task flags expired documents and e-mails reminders; bulk Download as ZIP.
Audit trail
- Field-level diffs ProEvery create, update and delete with user, role, IP address, module, action, entity and before / after values.
- Extra events ProLogins, failed logins, logouts, user and role changes, settings saves, modules enabled / disabled, WooCommerce order status and product changes and document access.
- Filters and export ProFilter by user, role, module, action, entity, record, IP and dates; export CSV.
- Retention policy ProKeep forever or prune by age or maximum entries, with per-action overrides.

Does StoreCashier Pro include approvals and an audit trail?
Yes. Can I share a document with someone outside the company?
Yes. Public share links can expire, limit the number of downloads and require a password.
Can old audit entries be removed?
Yes. A retention policy keeps entries forever or prunes them by age or maximum count, with per-action overrides.
Can approvals escalate automatically?
Yes. Each step has due hours and an overdue action: do nothing, escalate, auto-approve or auto-reject.
